File Format
Import Process

PDAProfessional is used to track the practitioners performance. Hence, a flat file of all your practitioners will need to be imported into the Plato application. The practitioners can be entered into the system manually. However as this list can be long, we provide a mechanism to import the physicians along with their departments and/or specialties from a flat file. This file can be generated from your host system, or can be extracted from some other source in your organization.

After we do the initial import of the practitioners, you can update the list either manually or import them on your own. Users will be trained on this during the Part 1 end user training.

File Format

We request that you email a comma separated file to us, so that we can validate the format. Although the fields can be in any order, we recommend the following field order:

Column Name
Practitioner ID
Practitioners full name (as 1 columns) or last name, first name (2 separate columns)
Department Name (optional, practitioner is associated with)
Department ID (optional)
Specialty Name (optional, practitioner is associated with)
Specialty ID (optional)
Street Address (optional)
City (optional)
State (optional)
Zip Code (optional)

Each practitioner should only appear one time. If a practitioner is associated with multiple departments / specialties, do not create two records for each practitioner. We need a single record with the most often department / specialty the practitioner is associated with. At at the time of data entry users will have the option to choose another department / specialty if different than the default. The address is used with letters that can be produced within the application. Inclusion of the address in the practitioner file provides the user with the option to include the address on the letters.

Import Process

Once we have validated the file, we will email it back to you and import it from one of the client workstations where PDAProfessional has been installed. Even though the file is imported from the client workstation the data is feed to the server, so that the practitioners are made available to all the workstations. We highly encourage the practitioner file be imported into PDAProfessional, before the first training session
